EMBS has interest in conference collaborations with other organizations hosting events in a technical area that EMBS has significant activity. Two types of conference sponsorship are available with EMBS, Technical and Financial Co-sponsorship.

Technical Conference Co-Sponsorship requests for IEEE EMBS participation

EMBS Technical co-sponsorship is limited to participating in the program activity of the conference where EMBS has a technical interest.  The following guidelines apply to all parties requesting a Technical Conference Co-sponsor relationship with IEEE EMBS:  

For your conference to be considered for Technical Co-sponsorship, two or more past proceedings for the event must be made available to EMBS for evaluation. If no such proceedings are available, then EMBS will not consider the conference for Technical Co-Sponsorship. If this is the first year for your conference, you will be encouraged to request technical co-sponsorship for the event if the technical area is of interest to the Society and after  the event establishes a history of 2 years in order to evaluate the quality of its event, peer review process and quality of its conference proceeding.

Initially to be considered for Technical Co-sponsorship by EMBS, the conference must:

  • provide a description of the scope of the event and a detailed description of its Peer Review process for its Proceedings 
  • must demonstrate that its paper submission process is secure
  • have a process to identify and reject fraudulent reviewers and papers

To verify this information, a detailed description of the paper submission and review process must be submitted with the formal request (one page) for approval to the EMB VP Conferences (please send all requests to emb-exec@ieee.org). Please include the date, location, sponsor(s), 3-5 years historical information as to past locations, attendance, etc, and a copy of the most recent 2 years of the Conference Proceeding and a detailed description of the Peer Review Process.  Please include a Call for Papers if one is available. IEEE EMBS will not authorize any publication acquisition for IEEE Xplore until these requirements can be verified.

As a Technical Co-sponsor, for IEEE EMBS to approve Technical Co-sponsor of your Conference the Society, requires the following:

  • Appointment of EMB Volunteer participation (minimum of 2 members) on the Conference Program Committee
  • Acknowledge IEEE EMBS participation in all conference materials, advertisements and on the conference website.
  • Include the IEEE EMBS Information page in the Final Program and Conference Proceeding
  • And agree that IEEE EMBS can acquire and publish the Conference Proceedings. The acquisition of the Conference Proceedings is not guaranteed and is contingent upon the proceedings being evaluated and requested by IEEE and created in the required IEEE compatible format.

Please provide the requested copies to the EMBS Executive Office once you have been notified of EMBS’ interest in your event.  Review of the requested material can take 4-6 months, please plan accordingly.

Note: IEEE EMBS will not technically co-sponsor a conference if it falls within a month (either side) of our Annual International Conference or a month (either side) of one of our Special Topic Conferences.

A Memorandum of Understanding will be required to outline the sponsorship of the event.

As a technical sponsor, EMB will provide the following to the conference:

  • IEEE/EMB members to serve on the organizing and technical program committees of the conference.  Encouragement to its members to submit papers and attend the conference               
  • Conference will be placed on the EMB Meetings Calendar
  • Permission to use IEEE EMB logo, which is to be included on all promotional and marketing materials which includes but is not limited to website, call for papers, program books, proceedings, web and print ads, emails, mailings and any social media related to the conference per IEEE Policy 10.1.17 – Use of IEEE logo     
  • Inclusion of the conference in the Society Calendar and EMB monthly e-newsletter (pending organizer’s submission and compliance of the MOU).  EMB manages the overall content schedule so submittal does not guarantee inclusion in every-newsletter as it is based on overall schedules and each conference’s deadlines/dates)

Items to be provided by the Conference to EMBS: Logo, high 100-word description, high resolution PDF of the CFP and URL for linking websites. Please provide this information to the EMB Senior Administrator at emb-exec@ieee.org. Once your event is approved by EMBS, promotion of key events and deadlines for the conference will be made on the EMB social media channels (twitter, facebook, and linkedin).

In the event EMBS may choose to have a physical presence at the Conference with an exhibit booth or table top exhibit, EMB will be provided a discounted fee of 50% for exhibit space.

Financial Conference Co-Sponsorship requests for IEEE EMBS participation

The following guidelines apply to all parties requesting to enter a Conference Co-sponsor relationship with IEEE EMBS.

For your conference to be considered, one or more past proceedings and final budgets (noting profit/loss) for the prior 2 events must be made available to EMBS for evaluation. If no such proceedings or budgets are available, then EMBS will not consider the conference for Co-Sponsorship. If this is the first year for your conference, you are encouraged to request technical co-sponsorship for the event and its proceeding until your event establishes a history for review.

A Memorandum of Understanding will be required to outline the sponsorship of the event.

All IEEE fees associated with acquiring the Conference Proceedings (administrative and paper fees) for a co-sponsored conferences will be the responsibility of the conference.

IEEE EMBS will include your conference information in regular mailouts to its members and on the website.

Once approved, the event may use the IEEE EMBS logo on the Conference Website and promotion material as a sponsoring society.

The use of IEEE EMBS in the title of the Conference is prohibited unless approved by the Society.
